1. Who is responsible for your information
ED PRIVATE TOURS LTD is the data controller responsible for the personal information described in this Privacy Policy. Contact us at info@edprivatetours.com. Our registered-office details appear in the website footer.
2. Information we may collect
For an enquiry, we may collect your name, email address, telephone number, tour or enquiry information, travel details, message content and any other information you choose to provide. We use this to respond to your enquiry and arrange requested services.
For Driver Network applications, we may collect contact details, your location or operating area, work and availability information, driving and private-hire licence status, vehicle information, insurance and licensing status, and information you voluntarily supply. Do not send copies of passports, driving licences, bank details, insurance certificates or other identity documents through the application form.
3. Website hosting, security and forms
Cloudflare Pages hosts and delivers this website. Cloudflare Pages Functions process Contact and Driver Network form submissions. Cloudflare may process technical information such as IP address, browser, device and request information for delivery and security.
We use Cloudflare Turnstile on these forms to help distinguish legitimate visitors from automated abuse. Turnstile processes technical information for that purpose, and the forms cannot be submitted until verification succeeds.
Resend transmits website-form emails to us. Google Workspace is used to receive and manage correspondence sent to info@edprivatetours.com. The Reply-To address for a form email is the address supplied by the person submitting it.
4. Bookings and external links
Bókun provides availability calendars and processes the booking and checkout flow. Booking details and payment information entered in Bókun are processed through Bókun’s booking system and applicable policies. Ed Private Tours does not collect payment-card details through its Contact or Driver Network forms.
WhatsApp links may transfer you to WhatsApp. Links to Votura lead to the separate Votura service; Votura is not operated by Ed Private Tours Ltd.
5. How we use information
We use personal information to answer enquiries, discuss availability, manage bookings, provide tours, communicate about bookings, consider Driver Network applications, respond to complaints, prevent misuse, and meet record-keeping obligations. Our lawful bases depend on the purpose and may include taking steps at your request before a contract, performing a contract, meeting legal obligations, legitimate interests, or consent where required.
6. Retention
We keep ordinary enquiries only for as long as reasonably needed to respond and follow up. Confirmed booking correspondence is kept for as long as needed to provide the booking and meet applicable accounting, insurance, legal or dispute obligations. Unsuccessful Driver Network applications are retained only for a proportionate recruitment period; successful driver or contractor records are kept for the duration of the working relationship and any applicable legal, insurance or record-keeping period.
7. Providers and international transfers
Our service providers may process information in the UK, EEA or other jurisdictions. Where required, providers use applicable contractual, organisational and legal safeguards for international transfers. Their own privacy information may provide further detail.
8. Cookies and similar technologies
We do not use website analytics, advertising pixels, marketing cookies or other non-essential tracking technologies. If we add non-essential cookies or similar technologies, we will review this policy and provide any required notice or consent mechanism before using them.
9. Your rights and complaints
Subject to applicable law, you may ask for access, correction, deletion, restriction, data portability, or to object to processing where those rights apply. You may withdraw consent where processing is based on consent. To make a request, email info@edprivatetours.com.
You may also complain to the UK Information Commissioner’s Office at ico.org.uk/make-a-complaint (opens in a new tab).
10. Changes to this policy
We may update this policy when our services, data practices or legal obligations change. The current version will be published on this page with its updated date.
